A leave order is an administrative document on the granting of leave to employees of an organization. Leave can be: annual paid, additional paid, leave without pay, leave associated with pregnancy, childbirth and raising a child.

In any organization there is, in accordance with which employees go to rest. Taking a leave requires the following steps:

3) Calculation of vacation and other payments

The leave order is drawn up in the T-6 form (for one employee) and in the T-6a form (for a group of employees). You can also develop your own order form.

Filling instructions

The topmost line indicates the name of the organization or individual entrepreneur (for example, LLC "Carrot" or IP Sergeev P.P.). Next, enter the individual document number and the date of its compilation.

Section B It is filled in for other types of vacation (duration, start and end dates).

The order has a standard form, which includes the name of the organization, the number and date of the order. In this case, the date is the day the employee goes on vacation.

  • We indicate to whom we provide leave: full name, personnel number, division, position.
  • We also enter the period of work for which the vacation is granted.
  • Next, you need to decide what vacation the employee goes on. If the employee goes to the next paid one, then fill out section A, indicate the duration of the vacation and the dates of its start and end.
  • Other types of vacations are issued in section B - the name of the vacation and its duration are indicated.
  • The head signs and approves the order and the document is given to the employee for review.

Now, when drawing up vacation orders, one should be guided by the Federal Law of December 6, 2011 No. 402-FZ “On Accounting”, which establishes a set of mandatory details for such orders. Thus, if a company decides not to use a unified form, then in its independently developed order form should be:

date of creation of the document, its name;

the name of the legal entity;

description of personnel action and its measurement in kind and (or) monetary equivalent;

titles of positions of responsible persons and their signatures (decoding of surnames and initials).

Although the legislation provides the employer with the right to develop and use their own forms, it is still more convenient to use the unified one. Features of filling out the form t 6 (form)

Form t 6 (form) allows you to draw up granting two holidays one document only if they follow one after the other (without a break). After all, the legislation allows the provision of several holidays to employees - leave to care for a child, leave without pay, educational, regular paid. And the order form t 6 does not allow you to enter information about several holidays if they are not in a row (and there is a gap of at least one day between them). This point should be taken into account using a unified form.

Another common mistake when filling out is entering information in the wrong column (by type of vacation). So, if the employee consistently takes two types of holidays, and none of them is annual paid (for example, an employee first goes on study leave, and then takes maternity leave), then you cannot enter data in point "A". To blank form T6 was filled out correctly, it is necessary to divide paragraph “B” into two sub-paragraphs, and then enter one type of vacation in each sub-paragraph, summing up their total duration in paragraph “C”.

A kind of order - form T-6a

The T-6a form is even easier to fill out than the T-6 form: it is enough to enter data from the personal cards of employees going on vacation at the same time (or with a maximum interval of 2-3 days), indicate the types of vacation, and also indicate the total number of calendar days and general holiday period. Like the T-6 form, such an order is drawn up in two copies - for the personnel department and for transfer to the accounting department.

The types of orders under consideration are issued and come into force by analogy with other types of orders: a project is prepared, then it is agreed and signed by the head, the employee gets to know him against signature. From that moment the order form t 6 acquires legal force and becomes mandatory.

The vacation order is issued and the employee gets acquainted with it against signature until the start holidays. Based on the order, the personnel specialist makes an entry in the employee's personal card, and the accounting department calculates the payment due to the employee for vacation.

What needs to be specified in the order

When you issue an order for unpaid leave (sample 2019), which we have given above, pay attention to the following columns:

  • name and eight-digit code of the organization according to OKPO;
  • the number of the order and the date of registration (namely, the registration, although the filling is written, because you can fill it out today, but they can approve it tomorrow);
  • Full name of the employee;
  • the period of his work, for which days of rest are provided;
  • type of holiday and number of calendar days;
  • column for painting in familiarization with the order.

According to paragraph 19 of the List of typical managerial archival documents ..., approved, the storage period for such documents is 5 years.

But all types of orders related to the rest of employees with, to care for a child, without saving maintenance (wages), according to the same paragraph of the List, are stored for 75 years. Each employed citizen has the legal right to rest for at least 28 days a year at the expense of his employer. What if the director of the company decided to take a break? It also needs to be done in accordance with the law. The head of the organization is also its employee. At the same time, by virtue of Federal Law No. 14-FZ of February 8, 1998 and Federal Law No. 208-FZ of December 26, 1995, it has the status of a sole executive body. But he still has no right to send himself to rest if he is not included in the schedule. The charter of the organization should indicate who can make such a decision: only the collegial body (board, directorate, etc.), if any, the meeting of participants (shareholders) of the company or the head himself. The decision of the collegial body or meeting of participants is documented in a protocol in which, in addition to all the conditions for the director's rest, the question of who will perform his duties during his absence is also decided.

An order is issued on the basis of such a protocol. It can also be drawn up in any form: both unified and arbitrary.

If the unified form T-6 is chosen, then by default only the manager himself can sign it. Therefore, in order for an authorized member of the company to put his signature, it must be amended in advance.

The fact of such changes is fixed by a separate order of any form. It happens that the director has, according to the charter, the authority to send himself on vacation on his own. Mandatory rest for past years

It happens that an employee has not rested for several years, and this year he decided to take advantage of rest days for past periods. In this case, this must be reflected in the local act No. T-6 or No. T-6a. True, the usual form does not provide for the listing of several periods, so it needs to be finalized. Changes must be formalized by the relevant organizational and administrative document, as provided for by the Procedure for the Application of Unified Forms of Primary Accounting Documentation. In this case, a self-developed form is preferable, since it does not require additional procedures.

Shelf life

After the design is completed, the document must be filed in a folder and sent for storage. Clause 19 of the List of typical managerial archival documents, approved by Order of the Ministry of Culture of the Russian Federation of August 28, 2010 No. 558, the shelf life of such local acts is 5 years. However, if employees who have gone on vacation are engaged in heavy, harmful or dangerous work or the document concerns the provision of days without pay (wages), then, in accordance with paragraph 19 of the List, such a local act will have to be stored for 75 years.
